Assistant Managing Editor

ASTRO is the premier radiation oncology society in the world, with more than 10,000 members who are physicians, nurses, biologists, physicists, radiation therapists, dosimetrists and other health care professionals who specialize in treating patients with radiation therapies. These medical professionals make up the radiation therapy treatment teams that are critical in the fight against cancer. Together, these teams treat more than one million cancer patients each year.

The Assistant Managing Editor for scientific journals at ASTRO is a dynamic, evolving role suitable for a motivated publishing professional. This role combines technical work with innovative strategizing and offers both significant independence and consistent collaboration with a supportive team.

The Assistant Managing Editor is responsible for the peer review process of the Society’s three journals, The International Journal of Radiation Oncology*Biology*Physics (Red Journal), Practical Radiation Oncology (PRO), and Advances in Radiation Oncology (ADRO). Under the direction of the Scientific Journals Managing Editor, this individual will process manuscript submissions and revisions, serve as editorial management system administrator, manage journal correspondence, keep relevant databases up to date and provide timely customer service. In addition, this individual will assist with/lead special projects such as the production of podcasts and coordination of reviewer training programs.

NOTE: The position is based in Arlington, VA at ASTRO’s headquarters.  The position is eligible for telework up to 2x/week after 6 months of successful employment.  All employees must be fully vaccinated as a condition for employment.


Major responsibilities will include:

  • Performs technical review on select manuscript submissions and revisions for the three society journals to ensure submission requirements are met including compliance with double-blind review requirements and original content (plagiarism) standards.
  • Manages day-to-day interactions with technical review vendor, provides technical check standards, processes invoices, and serves as first point of contact for inquiries.
  • Assigns new and revised manuscripts to appropriate Editors.
  • Maintains timely communications with authors and editors of the three Journals regarding additional information needed, disposition of manuscript, and status of revisions.
  • Helps executive editorial teams manage their editorial boards.
  • Identifies and implements workflow solutions for the efficient functioning of the journals.
  • Assists with the compilation, proofing, and promotion of journal issues.
  • Analyzes data and produces statistical reports on the performance of the journals.
  • Develops and executes new reporting initiatives.
  • Provides timely and professional customer service to ASTRO members via phone and email.
  • Leads journal podcasting program.
  • Brainstorms and assists with the implementation of strategic initiatives, including a consistent focus on enhancing the ASTRO author experience
  • Maintains awareness of the current publishing landscape by attending publishing professional conferences and reporting back to the team.
  • Performs annual technical audit of the journals’ operations, working with IT to provide recommendations for new systems, software, and upgrades as necessary.
  • Other duties and responsibilities as assigned.


Requirements

Qualified candidates will have:

Education/Experience

  • Education/Experience
  • Bachelor’s degree in relevant discipline or equivalent work experience.
  • A minimum of two years work experience with at least one year in copyediting or publishing capacity. Experience with scientific publishing preferred.
  • Electronic publishing/peer-review software experience preferred.
  • Previous work experience involving medical editing preferred.


Knowledge, Skills, and Abilities

  • Ability to communicate effectively and diplomatically with all levels of individuals in electronic, written and oral formats.
  • Strong organizational skills with excellent attention to detail.
  • Excellent time management skills and ability to meet deadlines.
  • Strong customer service, including customer follow-up skills.
  • Excellent computer skills and proficiency with Office 365.
  • Ability to work well as a team member and independently.
